Your Event Starts Before the Doors Open
The busiest stands at a trade show aren’t lucky. Their visitors decided to come weeks earlier. Here’s how to get on that list.

Walk any trade-show floor and you’ll see it: a handful of stands buzzing, and the rest politely waiting for someone to wander in.
The busy ones usually aren’t lucky. Their visitors had decided to drop by long before they reached the hall.
Visitors plan ahead. Your marketing should too.
Research from the Center for Exhibition Industry Research found that 94% of attendees do some pre-planning — browsing the exhibitor list, picking sessions, registering for special events. By the time the doors open, many of them already have a route in mind.
So the real job of pre-event marketing isn’t just building a great stand. It’s getting onto that route.
What it looked like for one client
For Stonefield Flavours at the Indian Ice Cream Expo 2026, we gave every platform a different job: search for people already looking for the event, Meta for scale, LinkedIn for named dairy and ice-cream companies, and Spotify for reach on the go.
The campaign drove 94,627 website sessions and 889 Meta-reported leads. And of the itemised search clicks, 890 out of 1,068 came from people searching for the event itself — exactly the people who walk the floor.
The budget followed those jobs, not habit. LinkedIn took the largest share — 46% — because it was the one platform that could reach 25 named ice-cream and dairy companies directly. Google and Meta did the heavy lifting on scale.
Five steps to fill your stand
- Start weeks, not days, before. People make plans early. Be visible while they’re still deciding where to go.
- Give each platform one job. Search catches people already looking for the event, social builds awareness at scale, and LinkedIn reaches specific companies and roles.
- Give people a reason to stop by. A demo, a launch, a tasting, a meeting slot — something worth putting on their list.
- Make the visit easy to plan. Put the hall and stand number on every creative, add a way to book a meeting, and send a reminder the day before.
- Keep it going after the show. Follow up while the conversation is fresh, and turn the best moments into content — our event films keep working long after the hall empties.
The one thing to remember
The stand is where people meet you. The campaign is how they decide to come.
